The 5-Step AI Synthesis Loop
Prime the AI: I kick things off by telling the chatbot exactly who it is (a world-class product analyst) and which personas matter. That snap of context means the bot thinks like my team from the first reply.
Hand It a Blueprint: I outline the five lenses to analyze and provide a standardized format. With the format locked, every output arrives in the same tidy package—no cleanup required.
Test a Single Sample: I run one transcript through the setup first. Catching format hiccups early prevents messy results later.
Automate & Batch: Transcripts and reviews auto-land as text files, then I zip them into about 200-page chunks. That keeps each batch within the model’s memory window, allowing me to run analyses back-to-back.
Harvest Themes: In a fresh chat, I drop the AI’s summaries and ask for top pain points, feature requests, and dominant personas.

Step 4: Automate & Batch
Create a "hands-off" system that turns your conversations and feedback into organized text files.
Interviews: Use a service like Granola or Otter.ai to automatically record, transcribe, and save your Zoom or Google Meet interviews. The key is to set up an integration that saves a new transcript as a .txt file in a dedicated local or cloud folder when a new transcript is created.
Other Feedback: Funnel your other sources (app reviews, survey results, support tickets) into the same folder as individual text files.
This creates a central repository of clean, ready-to-analyze data that is automatically populated.
Most powerful AI chatbots allow you to upload files and/or zip files.
⚠️ Context Windows: Every LLM has a "context window," which is like its short-term memory. It's the maximum amount of text it can consider at once. If you upload a zip file with more text than the context window can handle, the AI will either reject it or, worse, ignore the data that doesn't fit, leading to an incomplete analysis.
